1. Policy
AMTRA holds such data about RAMAs and RAMA students as may be necessary to perform AMTRA’s duties as a body appointed by the Secretary of State under the Veterinary Medicines Regulations to keep a register of Suitably Qualified Persons.
AMTRA will provide such information to official bodies as they may require for the performance of their duties, including but not limited to the VMD and DHSSPS(NI).
AMTRA will never sell personal information to any third party.
AMTRA may share such information with third parties as is necessary for the performance of its duties, such as data in connection with sitting examinations through Harper Adams University.
From time to time, you will be asked to submit personal information about yourself (e.g. name, email address, telephone number, credit card details) in order to receive or use AMTRA services in connection with being an AMTRA RAMA or a candidate AMTRA RAMA. Such services include newsletters, emails and correspondence regarding AMTRA membership, courses and CPD.
By providing your details you enable AMTRA and its service providers to provide you with the services you select. Whenever you provide such personal information, we will treat that information in accordance with this policy. Our services are designed to give you the information that you want to receive. AMTRA will act in accordance with current legislation and aim to meet current best practice.
2. Use and storage of your personal information
When you supply any personal information to AMTRA we have legal obligations towards you in the way we deal with that data.
Your personal information may include your first name, maiden name, last name, username, title, date of birth, information on RAMA exam passes and failures, information on CPD undertaken, disciplinary processes, telephone numbers, email address, employer, financial and transaction data, and summary details of correspondence with you.
We do not collect any information about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, genetic or biometric data.
AMTRA uses your personal information for the following purposes:
▪ to administer and maintain your registration
▪ to allow you to order our products and services
▪ to allow you access to our website
▪ to manage RAMA exams
▪ to process complaints
▪ to produce statistics
▪ to keep you updated (via telephone, post or digital communication, for example, email or text message) with information about AMTRA, important information to help you perform your role as a RAMA, and to notify you of events, workshops and CPD
▪ to give us feedback including to support the quality assurance of exam and CPD provision
If you supply health data in the context of your AMTRA RAMA exam, that information may be shared with Harper Adams University, the exam centre, and the AMTRA Assessor, to enable them to make appropriate provisions. If you supply health data (for example on maternity leave or long-term sick leave) in the context of your CPD obligations, that information may be used to consider a modification in your CPD obligations. Health data is not collected for any other reasons.
AMTRA will send you directly information on CPD and other information (such as animal disease information) to you that we consider important to help you fulfil your legal and professional duties as a RAMA, and share your data with third parties to do the same including the publishers of OvertheCounter magazine, Equestrian Trade News, the Moredun Research Institute, VBMS (trading as “SQP Learning”) and NADIS. The lawful basis for such processing is Legitimate Interests: given that RAMAs are required to undertake accredited CPD to maintain their RAMA status and are required to follow good practice in prescribing medicines, then making RAMAs aware of information on CPD opportunities, information on animal health challenges, best practice recommendations, etc., benefits the individuals and brings wider societal benefits. Individuals may opt out of such marketing by contacting AMTRA directly, or through logging in to their personal details on the AMTRA website.
As a body appointed by the Secretary of State under the Veterinary Medicines Regulations to keep a register of RAMAs, AMTRA is required to provide the Veterinary Medicines Directorate with information about RAMAs and those removed from the RAMA register.
In certain circumstances we may need to disclose information about you without consent, for example, if required to do so by law.
AMTRA RAMAs and candidate AMTRA RAMAs have a right to block or restrict the processing of their personal data. If you no longer wish AMTRA to process your personal data, membership of the AMTRA RAMA Register would be cancelled and VMD advised of this.
AMTRA will hold your personal information on our systems for as long as you use the service you have requested, and treat it as inactive in the event that the purpose has been met.
AMTRA will ensure that all personal information supplied is held securely, in accordance with the GDPR & Privacy Policy Act 1998.

4. Lawful basis
AMTRA’s lawful basis for processing personal data of RAMAs and candidate RAMAs is Contract, except in the context of marketing (limited to information on CPD and other information useful in the performance of the RAMA role) where the basis is Legitimate Interests: given that RAMAs are required to undertake accredited CPD to maintain their RAMA status and are required to follow good practice in prescribing medicines, then making RAMAs aware of information on CPD opportunities, information on animal health challenges, best practice recommendations, etc., benefits the individuals and brings wider societal benefits. Individuals may opt out of such marketing.
Important note!
Information RAMAs receive (whether by post or by email) from companies including CPD providers, magazine publishers and pharmaceutical companies, may not result from information from AMTRA. Other companies do develop their own lists of RAMA contact details, including as a result of filling in questionnaires in magazines, responding to pharmaceutical companies, etc.
